Title: Commercial Property Coordinator 

Compensation Range: $28-32/hr, depending on experience - Non-exempt

Schedule: Mon-Thurs: 9:00am-5:30pm, Fridays: 9:00am-5:00pm

Location: Westlake Village CA

The Commercial Property Coordinator is an excellent opportunity to begin building a career in commercial real estate while gaining hands-on experience in the day-to-day operations of a dynamic property management office. In this role, you will support a wide range of administrative, operational, and financial functions while serving as a helpful point of contact for tenants, vendors, and visitors. You will gain valuable exposure to tenant relations, lease administration, vendor coordination, maintenance support, and key property management processes, all while working closely with a supportive team. The ideal candidate is organized, detail-oriented, adaptable, and enjoys helping others while managing multiple priorities in a collaborative, fast-paced environment. 

What You’ll Do: 

PROPERTY MANAGEMENT & COORDINATING 

  • Serve as the primary point of contact for phone calls, walk-ins, and general email inboxes, and support daily property management operations. 

  • Serve as the initial point of contact for maintenance work orders by entering the details into the work order software, confirming insurance requirements, and coordinating access with tenants and vendors. 

  • Serve as the primary facilitator for tenant move-ins and move-outs, including sending welcome emails to new tenants, distributing fully executed leases to tenants, key management, insurance collection, suite cleaning coordination, documentation processing and filing, etc. 

  • Collect, review, submit, and file Certificates of Insurance (COIs) for tenants and vendors, ensuring all insurance requirements are met prior to approving or coordinating vendor work. 

  • Support vendor setup and updates, including collecting and organizing W-9s, contact details, and compliance documentation. 

  • Draft and distribute tenant and property memos related to events, outages, capital improvements, and operational updates. 

  • Draft and complete lease abstracts for executed lease agreements. 

  • Prepare conference room for bi-weekly staff meetings and send reminders to staff in advance. 

  • Assist with monthly updates to the property website related to tenant occupancy and availability. 

  • Plan and coordinate tenant events, including vendor coordination, maintenance support, memo distribution, and work order entry. 

ACCOUNTING 

  • Enter and submit all invoices and payables into Yardi for approval and remit payment upon approval. 

  • Assist with weekly payment runs, including preparing checks, recording and adjusting entries in Yardi. 

  • Perform initial outreach regarding outstanding rent payments and serve as the first point of contact for accounts receivable inquiries. 

  • Process tenant payments and cash receipts and apply payments in Yardi. 

  • Track delinquencies and assist with tenant billing and invoicing; research billing and payment discrepancies as needed. 

  • Support bank and credit card reconciliations and compile routine reports (e.g., A/R and A/P aging), escalating variances or issues promptly. 

OFFICE MANAGEMENT 

  • Maintain high standards for the management office, including appearance, cleanliness, organization, and professionalism. 

  • Oversee daily office operations, including opening and distributing mail, maintaining physical and electronic filing systems, ordering supplies, maintaining office inventory, stocking snacks, and coordinating staff appreciation lunches. 
     

What You’ll Need to Succeed: 

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.  

  • 1+ year in a professional office/admin/customer support environment

  • Familiarity with lease documentation, insurance compliance, and vendor coordination is a plus. 

  • Strong administrative, organizational, and time-management skills.  

  • Property management operations and tenant relations experience preferred, not required.  

  • Yardi experience preferred, not required.  

  • Ability to manage multiple priorities with attention to detail and accuracy.  

  • Strong written and verbal communication skills.  

  • Proficiency with Microsoft Office and ability to learn basic website update tools.  

  • Professional demeanor with strong customer service and problem-solving skills.  

  • Ability to maintain confidentiality and handle sensitive information appropriately.
