Compensation: $21-$23 per hour
Schedule: Full-Time
7:30 - 4 p.m. Tuesday - Thursday
9:30 - 5:30 p.m. Friday - Saturday
Location: Los Angeles, CA
Nazareth House is seeking a dependable and service-oriented front desk administrative assistant to support daily administrative, business office, and front-of-house operations within our residential care community. This role is ideal for a highly organized professional who excels in customer service, administrative coordination, and compliance support while serving as a key point of contact for residents, families, visitors, vendors, and staff. This position is located at the front desk.
What You’ll Do:
Serve as a primary point of contact for residents, families, visitors, and vendors, ensuring a welcoming and professional front office experience.
Act as the Executive Director's right hand by providing daily administrative support and assisting with special projects and operational priorities.
Manage front desk operations during scheduled business hours, including answering phones, greeting visitors, monitoring facility access, and maintaining a professional reception area.
Support licensing visits by preparing documentation, assisting inspectors, and coordinating information requests.
Maintain confidential employee and resident records in compliance with organizational and regulatory requirements.
Support HR functions including onboarding, ensuring new hire paperwork is complete and signed, maintaining personnel files, and tracking required documentation.
Assist employees with timecard corrections, including missed punches and meal premium adjustments, and collect signed timecards for payroll processing.
Distribute employee paychecks and assist with payroll-related administrative tasks.
Coordinate admissions inquiries by responding to initial calls, collecting prospective resident information, and entering leads into ECP.
Prepare, scan, email, and mail business correspondence, invoices, reports, and other documentation to vendors, representatives, and external partners.
Maintain organized filing systems, databases, mail distribution, and general office operations.
Schedule appointments, transportation, meetings, and other administrative activities when needed.
Assist with events, Dining Services documentation, staff scheduling records, and training logs.
What You’ll Need to Succeed:
Administrative, business office, or account coordination experience required.
Strong customer service, professionalism, and communication skills.
High level of confidentiality, discretion, and attention to detail.
Strong organizational and multitasking abilities in a fast-paced environment.
Proficiency in Microsoft Office and standard office systems.
Healthcare, assisted living, or elder care experience preferred.
Valid driver’s license, background clearance, and ability to complete required training.
Within the first 60 days of employment, successfully complete licensing training to become the primary administrative liaison during licensing surveys and regulatory visits, assisting with documentation requests and ensuring survey readiness.
